This website, magnetarai.co.in, is operated by Magnetar AI Solutions LLP, Tiruchirappalli (Trichy), Tamil Nadu, India ("Magnetar", "we", "us"). We are responsible for the personal data described in this policy. We process personal data under India's Digital Personal Data Protection Act, 2023, and, where it applies to visitors from those regions, the EU and UK General Data Protection Regulation.

This policy covers this website only. Our products (such as LightLink AI, QmachAI, Polamaa and Leafbag) have their own privacy policies.

2. What we collect

Information you give us

• Enquiry form: your name, email address, company, message, and optionally your phone number and the service you are interested in.
• Job applications (Careers): your name, email, phone/WhatsApp number, city, qualification, Tamil proficiency, LinkedIn profile (optional), availability, your answers to the screening questions, your message, and your resume (PDF, DOC or DOCX).
• Emails you send us, for example to support@magnetarai.co.in.

Information collected automatically

• Your cookie choice, stored so we don't ask again.
• Analytics, only if you accept analytics cookies: pages visited, how you arrived (referrer), approximate country/city, device, browser and operating system, time spent, clicks, and whether a form was submitted. We use our own privacy-focused analytics, not third-party advertising trackers.
• Server logs: our web server records standard technical information for every request (IP address, date and time, page requested, browser) to keep the site running and secure, including blocking abusive traffic.

We do not collect passwords, payment card details, or sensitive personal data through this website, and we never use the content of your form messages for analytics.

3. Why we use it

• To reply to your enquiry and discuss our services with you (based on your request).
• To assess your job application and contact you about it (based on your consent, which you give when you apply).
• To understand how the website is used and improve it (only with your consent to analytics cookies).
• To keep the website and our systems secure, prevent spam and abuse, and meet legal obligations.

We do not sell your personal data, and we do not use it for automated decisions that affect you.

4. Cookies and analytics

When you first visit, we ask for your cookie choice:

• Necessary cookies (always on): remember your cookie choice and support essential site functions. Kept for up to 180 days.
• Analytics cookies (optional): let us measure visits in aggregate, as described above. Kept for up to 13 months.

5. Who we share it with

Your data is used by Magnetar's team only. We share it with others only where needed:

• Hosting: our website and email run on our own servers, rented from Hetzner Online GmbH.
• Email delivery: when we reply to you, your email provider receives our message as usual.
• Authorities: only when the law requires it.

Enquiries and job applications are delivered to our own mailbox (support@magnetarai.co.in) on our own mail server; they are not passed to third-party form or recruitment services.

6. Where it is stored and for how long

Our servers are located in the European Union (Finland). If you are in India or elsewhere, your data is therefore transferred to and stored there, under the protections described in this policy.

• Enquiries: a backup copy is kept for up to 12 months; correspondence in our mailbox is kept for as long as needed to deal with your enquiry and any resulting business relationship.
• Job applications and resumes: kept for up to 12 months, then deleted, unless you join us.
• Analytics: up to 13 months. Cookie choice: up to 180 days.
• Server logs: kept for a short period (typically up to 14 days) for security and troubleshooting.

7. Security

The website uses encrypted connections (HTTPS) throughout. Stored enquiries and applications are accessible only to authorised staff, our servers are protected by firewalls and automated attack blocking, and we keep software up to date. No system is perfectly secure, but we work to protect your data and will act promptly if a breach occurs, including notifying you and the authorities where the law requires.

8. Your rights

You can ask us to:

• access the personal data we hold about you, and get a copy;
• correct or update it;
• delete it (for example, withdraw a job application);
• withdraw your consent at any time (this does not affect anything done before you withdrew it);
• object to or restrict certain uses, where the law gives you that right; and
• nominate someone to exercise these rights on your behalf, as provided under Indian law.

To make a request or a complaint, email support@magnetarai.co.in. We will respond within 30 days. If you are not satisfied with our response, you may complain to the Data Protection Board of India or, if you are in the EU or UK, to your local data protection authority.

9. Children

This website is intended for businesses and adults. We do not knowingly collect personal data from children under 18. If you believe a child has sent us personal data, contact us and we will delete it.

10. Other websites

Our website links to other sites, such as our products and our LinkedIn and Instagram pages. Those sites have their own privacy policies, and we are not responsible for how they handle your data.

We may update this policy from time to time. We will publish any change on this page with a new "Last updated" date.
